Office Manager

 

The Downtown Worcester Business Improvement District (BID) is seeking an energetic and experienced person to serve as Office Manager.  Reporting to the Executive Director, the Office Manager will be responsible for providing a well-functioning office environment for staff and visitors as well as managing the day to day administration of the organization.

 

The BID is a non-profit organization that represents the owners of 140 properties within approximately 78 acres of Downtown Worcester, Massachusetts. The BID seeks to create a unique sense of place through enhanced investment and development, establishing and sustaining a vibrant, welcoming, and economically viable district for all stakeholders. 

DUTIES AND RESPONSIBILITIES

Responsibilities include, but are not limited to: 

  • Manage the everyday functions of the office including maintenance and oversight of supplies and equipment

  • Support financial operations

    • Invoice processing, check requests, and approvals

    • Assist with audit preparation, annual filings, and insurance certificates

    • Prepare membership dues collections letters and reports

  • Database management

  • Contract/vendor maintenance, including review of contract terms and managing renewals

  • Monitor compliance with organizational and HR policies

  • Schedule meetings and appointments

  • Support Board meetings, including taking board minutes and sending out board materials

  • Assist with intern recruitment, hiring and onboarding

  • Oversee IT consultant relationship

  • Support for meeting and event planning, including any catering needs

  • Assist in the onboarding process for new hires

  • Other duties as assigned

 

QUALIFICATIONS AND SKILLS

We are looking for candidates with the following skills and experience:

  • 3-5 years of professional experience in office administration

  • Detail-oriented with strong organizational, planning, and problem-solving skills

  • Initiative and the ability to complete tasks efficiently

  • Positive attitude and the ability to work effectively with all different types of people

  • Strong written and verbal communication skills

  • Ability to work effectively both independently and as part of a team

  • Familiarity with Worcester and passion for supporting the business district

  • Associates Degree or higher preferred, or equivalent work/life experience

  • Experience with bookkeeping/financial management a plus

  • Comfort in maintaining technical systems

  • CRM/database familiarity

  • Microsoft Office

 

SALARY RANGE AND BENEFITS

Full-Time, $40,000-50,000 depending on experience, plus health benefits, health reimbursement account, vacation, disability and life insurance, 401k.
